Delete Your Account
If you no longer wish to use Booking Pro AI™, you can request that we delete your account and the data associated with it. This page explains exactly how to do that and what happens after you ask.
1. Overview
This page describes how the workspace owner can request deletion of their Booking Pro AI™ workspace and the data we hold for it. There are two equally valid ways to request deletion: from inside the app, or by email. Both are processed by the same team and follow the same timeline.
Owner-only. Deletion is workspace-wide and can only be requested by the workspace owner (the person who created the company account). Submitting a request signs every team member out immediately and schedules the entire workspace, including all contacts, bookings, communications, settings, and team-member accounts, for permanent deletion in 30 days.
Not the owner? If you are an admin, manager, staff member, or viewer who only wants to remove your individual access, you cannot self-delete. Ask your workspace owner to remove your user from Team Settings; that takes effect immediately and does not affect anyone else on the team.
2. Request deletion from inside the app (owner only)
Sign in as the workspace owner and follow these steps. The Delete Workspace section is only visible when you are signed in with the owner role:
- 1Open Booking Pro AI™ on the web at app.bookingpro.ai, or open the mobile app, and sign in as the workspace owner.
- 2Click your profile picture in the top-right corner of the header to open the user menu, then click Profile Settings.
- 3Open the Security tab.
- 4Scroll to the Delete Workspace section at the bottom and click the Delete this workspace button.
- 5Read the on-screen warning, type
DELETE MY ACCOUNTto confirm, and submit. Every team member is signed out immediately and the workspace enters the 30-day deletion queue described in Section 6.
3. Request deletion by email
If you cannot sign in (forgotten password, lost device, locked account, or any other reason), you can request deletion by email instead. Send a message to:
To help us identify your account and process the request quickly, please include the following in your email:
- Subject: Account deletion request
- The email address you used to sign up for Booking Pro AI™.
- Your business name as shown in the app, if you remember it.
- A statement that you are requesting permanent deletion of your account and associated data.
We will reply to confirm receipt and ask you any clarifying questions we need before processing the deletion. To prevent fraudulent requests, we may ask you to verify ownership of the account before we proceed.
4. What gets deleted
When your deletion request is processed, the following categories of data are permanently removed from our production systems:
- Account profile: name, email address, phone number, profile picture, password hash, and login history.
- Business data (owners only): company profile, locations, business hours, services, products, pricing, staff records, and booking rules.
- CRM and contacts: customer names, phone numbers, email addresses, appointment history, and notes you stored in the Contacts section.
- Communications: SMS, WhatsApp, email, and chat conversations sent or received through the platform.
- Phone calls: AI receptionist call recordings, transcripts, and call metadata.
- AI configuration: receptionist voice, name, custom greetings, knowledge base entries, and prompt overrides you created.
- Connected integrations: Google Calendar tokens, Gmail tokens, WhatsApp channels, and other OAuth credentials are revoked and the linked records are removed.
- Uploaded files: images, attachments, and documents you uploaded to the platform.
- Push notification tokens and device registrations associated with your account.
Backups in our cloud infrastructure are rotated on a 30-day schedule, so any copy of the above data still present in a backup is overwritten within 30 days of the deletion completing.
5. What is retained, and why
Some categories of data are retained for a longer period because we are legally required to keep them, or because they no longer identify you personally. Specifically:
- Billing and tax records: invoices, receipts, refund records, and the transaction history of your subscription are retained for up to 7 years to comply with tax, accounting, and audit obligations. These records contain the minimum information required by law (date, amount, business name) and are not used for any other purpose.
- Anti-fraud and security logs: a small set of security logs (failed login attempts, suspected abuse, IP-level rate limit data) may be retained for up to 12 months to protect the platform and other users.
- Aggregated and anonymized analytics: aggregate usage statistics that cannot be linked back to you (for example, total bookings per industry per month) are retained indefinitely. By design, this data does not identify any individual user or business.
- Records held by third-party providers: some processors we use, such as our payment provider and telephony providers, retain their own records of transactions and calls under their own retention rules. We do not control those retention windows. Their privacy policies describe how to request deletion from them directly.
6. Timeline
Once you submit the request:
- Immediately: every member of the workspace is signed out and cannot sign back in. The workspace is inaccessible from this point forward.
- Within 30 days: account profile data, business data, contacts, communications, calls, files, and configuration are permanently deleted.
- Up to 7 years: billing, tax, and audit records described in Section 5 are retained as required by law, then deleted.
Once production deletion completes, the action is irreversible. If you change your mind, contact us before the 30-day window ends and we will pause the request.
